If you've ever had to explain to a client why a failed component is or isn't covered, you already know the real problem with warranties is that they're rarely just one thing. A single piece of equipment in a typical installation can carry three, four, or even five different layers of coverage at once. Until now, tracking where one layer ends and the next begins has mostly lived in someone's memory, a spreadsheet, or a folder of PDFs nobody opens until there's a problem.

D-Tools Cloud's new Warranty Tracking feature, built into Inventory Asset Management (IAM), is designed to fix that. Here's what's actually stacking up on a given asset, and how the new tools help you manage it.

Multiple Warranties Create Confusion

It is pretty common to have at least three overlapping warranties on a piece of equipment. The IAM module in D-Tools Cloud is designed to help manage the hardware coverage from the manufacturer and distributor, while the Service module in the software should be used to manage the installation and any extended service plan coverage. Here are the details:

  • Manufacturer’s Warranty: Let’s start with the manufacturer's warranty. Most individual products carry one, typically ranging from 90 days to a year, and it covers defects in the product itself. This warranty has nothing to do with your installation or workmanship. As noted, D-Tools Cloud's Warranty Tracking gives you the timeline for this manufacturer hardware coverage.

  • Distributor’s Warranty: Layered on top of that is often a distributor warranty. Many distributors extend beyond the manufacturer's own terms, often adding another year or more of coverage on the same unit.   • Installation Warranty: Then there's your own installation warranty. Most integrators offer roughly a year of coverage on their labor and installation quality. This is separate from anything the manufacturer or distributor promises on the equipment, and covers failure during the installation process versus from a defective component. Examples might be a display mount that works loose from the wall, a connection that wasn't seated right, or most commonly some sort of programming error related to a centralized control solution. Administration of your own Installation Warranty should be handled via the Service module in D-Tools Cloud.

  • Extended Service Plan: Finally, some integrators sell an extended service plan (ESP) that picks up where the manufacturer's warranty leaves off. It's worth being precise about what this is and isn't. An ESP is not a maintenance contract that covers ongoing tasks like calibration, cleaning and programming updates, regardless of whether anything is broken. And an ESP is not a manufacturer's warranty. It's a contract that is sometimes administered by a third-party warranty company to cover a component (or several) once the original warranty period has expired. Similar to the Installation Warranty, any ESP you sell should be administered via the Service module in D-Tools Cloud.

That's four overlapping clocks running on a single piece of equipment, each with a different start date, a different duration, and a different party responsible for honoring it. Multiply that across every product on a project, and it's easy to see why coverage questions used to end in a shrug.

Why Sell Extended Service Plans?

It's a fair question, especially since many customers are instinctively suspicious of extended service plans. The pitch alone can make a client wonder whether the product is even reliable. And they're not wrong to wonder: most equipment isn't likely to fail within the first three years of ownership. That skepticism is exactly why a single-item ESP is often a harder sell than it should be.

The stronger play for most integrators is an umbrella contract, which is one agreement covering multiple components across a system rather than a warranty sold line-item by line-item. It reframes the conversation from “do you think this one product will break” to “do you want one call to handle everything if anything does,” which is a much easier yes.

And there are real business reasons to offer it beyond the client's peace of mind: it's a recurring revenue stream, it deepens the relationship (a client with an active service plan calls you first, not a competitor), and in a market where more integrators are bundling service into the sale, not offering one puts you at a disadvantage.

Seeing It All on One Timeline in D-Tools Cloud

Visibility is where D-Tools Cloud's Warranty Tracking earns its keep. Rather than juggling manufacturer terms, distributor extensions, your own installation warranty, and any ESP you've sold, each layer of coverage lives on the asset itself and renders as a visual timeline. So, you can see at a glance where one ends and the next begins, and where gaps exist that a client should probably be closing.

Coverage defaults can be set at the product or category level so new assets prefill automatically, and existing inventory can be brought under coverage in bulk right from a product's Assets tab. This is especially useful if you're backfilling warranty data on equipment you've already installed. Supporting documents, like the ESP contract itself or a distributor's extended-warranty terms, attach directly to the relevant coverage layer, so the paperwork lives next to the asset it actually applies to.

A dedicated Warranty Coverage page surfaces what's expiring soon and what registration deadlines are coming up, with filters and exports so a service coordinator can work the list proactively instead of reactively. Warranty status also appears as columns in your inventory export and cross-references any applicable service plans. That means when a manufacturer's warranty is about to lapse, it's immediately clear whether an ESP is already picking up the slack or whether that's a conversation worth having with the client.

The result isn't just cleaner recordkeeping. It's the ability to walk into a renewal conversation, or answer a client's coverage question, with an actual answer instead of a search through old paperwork.
