Nothing intensifies the heat of summer in our industry more than those annoying and unwanted project deadlines. Whether it’s a bid submission date or a project deployment deadline, these details can really increase the pressure unnecessarily.

The good news is that System Integrator (SI) has you covered! Whether it is tight project deadlines, overlapping installs, supply chain snags, or unwanted surprises, SI offers a suite of tools to help manage and cool down these challenges. From sales and project management to procurement and deployment, SI provides everything needed to handle the summer heat—both literal and figurative.

Sales – How to Lower the Heat Index with SI

Sales processes are often intense, making the workflow feel "hot" by nature. SI offers several tools to help create relief:

  • Project Status: Using SI as a sales CRM, the Project Status designation is a valuable asset for sales management teams to monitor the progress of bid assembly, client submission, negotiation, and bid acceptance.
  • These designations are visible from the Project Explorer and can be displayed in SI’s Business Analytics, providing quick insights into the status or updates of any bid in the sales pipeline.
  • Project Status designations are also part of SI’s Workflow Rule notifications, keeping key team members informed as bids progress from leads to won jobs.

Another useful feature is the variety of date fields available at the Project level:

  • Estimated Close Date and Actual Close Date are standard fields.
  • Project Custom Date Fields can be used for sales-related deadlines, such as "Submission Deadline," "Bid Acceptance Date," or "Negotiation Commencement." These data points help keep the team updated on pending sales.

Procurement – Keeping Things Cool on the Order Side

SI helps maintain a manageable workflow temperature with procurement data fields for both purchase orders (POs) and projects:

  • Dates related to PO issuance can be integrated into SI's Workflow Rules and Business Analytics, providing updates to non-procurement team members who may not have purchasing access.
  • Within an SI Project, fields like "Order Date," "Expected Delivery Date," and "Receive Date" offer key insights for Project Managers regarding deployment availability.
  • These fields can be exported to Excel or included in custom reports, making them accessible without needing to open the SI Project directly.

Project Management and Deployment – Maintaining a Desired Climate

Project management can quickly become overwhelming. Planning ahead is crucial, and SI’s Gantt View is a powerful tool for this:

  • Gantt View: Offers repeatable deployment models based on "Phase," consolidating all project labor hours in one view. With Milestones, Predecessors, and Successors, project managers can stay ahead and keep things under control.
  • PMs can create all deployment tasks at once, saving effort later. Tasks remain visible in SI until it's time to publish them for field technicians.
  • Calendar: Allows users to view scheduled dates and availability, helping to avoid deadline surprises.
  • Creating meaningful "User Categories" (e.g., by office location or job title) provides insight into task assignments and helps filter tasks and service orders on the calendar.

Tasks and Mobile Install

Field data is essential for managing "hot" projects. The Mobile Install platform allows technicians to collect site data and update SI Project deployment tasks:

  • Confirmation of task commencement and ongoing updates from the field deliver timely details to keep everyone informed.
  • Data collected by field techs (such as Install Date, IP Address, serial number, and Site Images) can be directly added to the SI Project.

All of this enables you to "throw some ice" on unnecessarily heated field items.
